Our Roles & Responsibilities


CHAIRMAN
  • Chairman will be elected by general body on annual basis and eligible for reelection/ reappointment for maximum of one term.  
  • Chairman shall preside over all meetings of the ExeCom
  • The Chairman shall maintain general oversight over the activities of the Suvasam
  • He/she will be responsible to execute agreement, contract and other executive functions along with Secretary
  • Chairman is also responsible for monitoring/taking required steps for strengthening and increasing efficiency of trust’s activities and management
  • Chairman is also required to give necessary guidance and leadership to the executive directors, executive members, other heads of the individual departments  in ensuring cohesion and coordination among the various departments of the trust
  • Looking after legal matters,  promotional activities and public relations
  • He is responsible to ensure the trust management adherence with all statutory compliances
  • Chairman is also the Chairman of the Annual General Body and is responsible for  ensuring to conduct the periodical meetings of the various departments and committees

VICE CHAIRMAN (VC)

  • Vice Chairman will be elected among trustees by general body on annual basis and eligible for reelection/ reappointment for maximum of one term. 
  • The Vice Chairman acts as Chairman, during casual vacancy in the office of the Chairman by reason of death, resignation or removal or otherwise, until a new Chairman is elected by general body. When the Cahirman is unable to discharge his functions owing to absence, illness or any other cause, the Vice Chairman discharges those functions till the Chairman resumes office
  • He/she has to render required assistance to the Chairman in all aspects of trust functioning, like administrative, operational and planning of the Trust
  • Vice Chairman will be responsible for all circulation, communication and documentations of all correspondence including with advisory board  on undersigned issue
  • Vice Chairman will be responsible for ensuring quorum  for general body/ executive committee   
  • He/she will looking after the matters relating to Board Meetings and is responsible for circulation of notice for conducting Annual General Meeting

SECRETARY

  • Permanent trustee / Managing Trustee will be called as Secretary  and not subjected to annual election
  • Secretary shall discharge the duties of the Chairman in the absence of the Chairman/Vice Chairman
  • Secretary shall also discharge the duties of the Treasurer  in the absence of the Treasurer
  • Secretary is the in-charge to operate bank accounts including signing cheques   
  • He will be responsible to execute agreement, contract and other executive functions along with Chairman
  • Carrying out general administration of the organization
  • Looking after legal matters,  promotional activities and public relations

TREASURER

  • Treasurer will be elected by general body for two year term and eligible for re-appointment maximum of two terms subject to his performance.  
  • The treasurer shall responsible to ensure all receipts and expenses of the trust are properly  done according to the norms
  • The Treasurer shall arrange for books of account to be maintained
  • The Treasurer shall arrange for audit of the books of account, and present the Statement of accounts for approval at the Annual General Body Meeting.

EXECUTIVE DIRECTORS

  • All the trustees (except those trustees are elected as Chairman, Vice Chairman, Treasurer, and Secretary) are called as executive directors.   
  • They are responsible to take care of functioning of the  individual chapters allocated to them
  • They shall also participate annual general body proceedings and planning
  • The Executive directors shall present a report of activities at the Annual General Meeting of their individual chapter
  • They will also update the developments of their chapter to Execom on quarterly basis

EXECUTIVE MEMBERS

  • Executive members are nominated by general body based on their merits for two years term and eligible for re-nomination  
  • Maximum of five executive members will be nominated
  • Executive members are responsible to take care of individual program of trust / chapters
  • Executive members shall  present a report and plan of action on individual program/ chapters
  •  They shall also participate annual general body proceedings and planning
  • They shall present a report of activities at the Annual General Meeting of their individual chapter/ program
  •  Executive Directors will be elected only among Executive Members

VOLUNTEERS

  1. Volunteers mainly supporting Suvasam in all possible way (without their physical presence/availability) to achieve its goal. It includes writing articles in blog and sharing knowledge on specific areas in web site, fund raising  and expansion 

COORDINATORS

  1. The Coordinator shall carry out all the day-to-day activities of the trust. In this, the Coordinator shall be guided by the rules and regulations and code of conduct of the trust as well the policies and decisions of the ExeCom.
  2. They will be supervised by consent ED/EM
  3. The Coordinator shall arrange for the safe keeping of all the records and correspondence of the trust.

PARTNERS

  1. Partners will involve all activities of Suvasam and render help to achieve the assigned goal in specific locations/areas.
  2.  It includes  partner will act as mentor, organising/ conducting awareness meeting, case study to collects various information for documentation
  3. In addition, partners will share their knowledge, writes articles, support fund raising process and expansion
